Quick answer

A renovation quotation and project system keeps your enquiries, quotations, projects, progress payments and variation orders in one place, instead of spread across WhatsApp chats, Excel files and paper. For a Malaysian contractor, it should quote in square feet, foot run and points from your own price list, tie deposits and progress claims to work stages, record every change as a variation order the customer approves, and apply service tax only where it applies: since 1 July 2025, construction services are taxed at 6% for providers with more than RM1.5 million in taxable revenue a year, but work on residential buildings is excluded. You can use accounting software with quotes, an overseas contractor platform (Houzz Pro is listed from US$399 a month), or have a system built around how your company quotes. Transfomind builds custom systems, with a first version from RM6,000.

The problem

Quoting in Excel, chasing on WhatsApp

Most renovation firms run this way. It works with a few jobs a month, then quotes slow down, leads slip and payments drift as the work grows.

Quotes take days

Retyping item lists and rates into Excel after every site visit, while the homeowner collects quotes from three other contractors.

Leads lost in WhatsApp

Enquiries from Facebook, Instagram and Xiaohongshu buried in chats. The ones you answer late go to someone else.

Chasing progress payments

Claims go out late because the office didn't know a stage was finished, and customers say they didn't know a payment was due.

Changes argued about at handover

Extra work agreed verbally on site turns into a dispute about price when the final bill arrives.

What's included

From first enquiry to handover, in one system

Every firm quotes differently, so we build only the modules you need. These are the ones most renovation companies start with.

Enquiry board

Every lead from WhatsApp, your website, Facebook, Instagram, Xiaohongshu and Google on one board, with an instant auto-reply and a timer showing who is still waiting.

Site visits and measurements

Book site visits in the team calendar. The supervisor enters measurements on their phone and they become a draft quote.

Quote builder from your price list

Sections and items in sqft, ft run, points and lots, priced from your own rates, with your cost and margin shown on every quote.

PDF quotes and online acceptance

Quotes with your letterhead and payment schedule. Customers view and accept online, and every revision is kept.

Quote follow-ups

Friendly WhatsApp follow-ups after 3 and 7 days, so no quote is forgotten while the customer decides.

Progress claims

Deposit and progress claims tied to work stages, issued the moment a stage is marked done, payable by DuitNow QR or FPX.

Variation orders

Every change is priced and approved by the customer in writing before the team starts, then added to the final claim.

Project stages and site updates

Stage checklists, photos and notes for every job, shared with the customer so they don't need to call for updates.

Team schedule

Hacking, wet works, electrical, ceiling and carpentry teams plus site visits on one weekly view.

Site app

Supervisors see today's sites, tick off stages, share photos and raise changes from their phone.

Customer app

Customers accept quotes, approve changes, pay claims and follow progress in one place.

Reports

Win rate by lead source, reasons quotes were lost, quoted vs won by month, and payments outstanding.

Try the system yourself

Open the live demo of a fictional renovation company in Shah Alam with sample data. Switch between the office, the supervisor's site app and the customer app: build a quote, mark a stage done, approve a variation order and pay a progress claim. There is also a sample customer website: request a site visit or approve a change there and watch it appear in the office.

The demo is a sample. Your system is designed around your company, so its look and features follow your requirements.

Know which quotes need you, at a glance

The quotations board shows what's been sent, viewed and accepted, how long each customer has been waiting, and your margin on every job. Follow-ups go out on WhatsApp so a quote never goes cold.

Built around WhatsApp

Customers stay on WhatsApp. Your office doesn't chase.

Homeowners in Malaysia already talk to contractors on WhatsApp, so the system works through it. Claims, follow-ups and site updates go out from your company's own WhatsApp Business number, with a link to pay or approve.

Automated WhatsApp messages use Meta's WhatsApp Business Platform, which charges per message for some message types. We include the expected running cost in your quotation.

Pricing and timeline

Start with quoting, grow from there

A first version from RM6,000, with a fixed quotation agreed before any work starts. Most firms build in phases:

  1. Phase 1 · Quoting

Enquiry board, price list, quote builder with PDF quotes and online acceptance, and follow-ups. Usually live in 6–10 weeks.

  2. Phase 2 · Projects and payments

Project stages, progress claims with DuitNow QR and FPX, variation orders and WhatsApp updates.

  3. Phase 3 · Team and growth

Site app for supervisors, customer app, team schedule and reports.

Hosting, payment gateway fees and WhatsApp message charges are separate running costs, shown clearly in your quote.

Rules and compliance

Malaysian rules, built in

Service tax applied correctly

Construction services are taxed at 6% from 1 July 2025 for providers with more than RM1.5 million in taxable revenue a year, and work on residential buildings is excluded. Each job is marked residential or commercial, so tax only appears where it should. Confirm your position with your tax agent.

CIDB details on every quote

Contractors must be registered with CIDB before carrying out construction work, with fines of RM10,000 to RM100,000 for breaches. Your quotes and contracts can show your registration number and grade, so customers can check you.

Ready for e-invoicing

Since 1 September 2026, businesses with annual revenue under RM3 million are exempt from e-invoicing, unless a shareholder, holding company or related company is above that. If you're required to issue e-invoices, we connect the system to your accounting software or LHDN's MyInvois.

Customer data handled properly

Addresses, phone numbers and photos of people's homes are protected with role-based access, secure hosting and backups, in line with Malaysia's Personal Data Protection Act. Your data stays yours, exportable at any time.

Questions

Renovation system FAQ

Can I try the renovation quotation system before deciding?

Yes. Our live demo runs a fictional renovation company in Shah Alam with sample data. You can build and send a quote, mark a stage done in the supervisor's site app, approve a variation order and pay a progress claim in the customer app. Nothing you do affects real data. The demo is a sample: your own system is designed around how your company works, so its look and features follow your requirements.

How much does renovation quotation software cost in Malaysia?

It depends on whether you subscribe or build. Accounting software with quoting costs a few US dollars a month, and overseas contractor platforms cost far more: Houzz Pro is listed from US$399 a month, and Buildertrend last published prices of US$449 to US$989 a month. A custom system is a one-time build: Transfomind's first versions start from RM6,000. Hosting, payment gateway fees and WhatsApp message charges are separate running costs.

Can it quote in square feet, foot run and points?

Yes. Your price list holds each item with its unit, such as sqft for tiling and plaster ceiling, ft run for cabinets and L-box, and points for wiring and plumbing, with your cost and selling rate. Quotes use those rates automatically and show your margin before you send.

How do deposits and progress payments work?

You set a payment schedule per job type, for example a 20% deposit on signing and claims after plumbing and wiring, tiling, carpentry and handover. Qanvast notes a 10–20% deposit is the norm in Malaysia. Each claim is issued when its stage is marked done, sent on WhatsApp, and can be paid by DuitNow QR or FPX.

How are variation orders handled?

Any change raised on site is priced by the office and sent to the customer to approve or decline before work starts. Approved changes are added to the final claim, so the contract value always matches what was agreed in writing.

Do I need to charge service tax on renovation work?

Since 1 July 2025, construction services are taxed at 6% if your taxable revenue is more than RM1.5 million in 12 months, and work on residential buildings is excluded. The system marks each job residential or commercial and applies tax only where needed. Your tax agent should confirm how the rules apply to your company.

Can customers accept quotes and pay online?

Yes. Customers get a link on WhatsApp to view the full quotation and accept it online. Deposits and progress claims can be paid by DuitNow QR, FPX online banking, e-wallets or card through a Malaysian payment gateway, and are marked as paid automatically.

Can my site supervisor use it on their phone?

Yes. The site app shows today's jobs, lets supervisors mark stages done, share photos and notes with the customer, raise changes and send measurements from site visits straight into a draft quote.

Can I import my existing Excel price list and past quotes?

Yes. We import your price list, customers and open jobs as part of the project, so you start with your own rates rather than a blank system.

How long does it take to build?

A first version with enquiries, the price list and the quote builder usually takes 6–10 weeks. Progress claims, variation orders and the site and customer apps can follow in later phases.
