Quick answer

A tuition centre management system keeps your students, class timetable, attendance, fees and parent communication in one place, instead of spread across WhatsApp chats, spreadsheets and paper registers. For a Malaysian centre, a good system should handle sibling discounts and make-up classes, collect fees by DuitNow QR and FPX, send reminders on WhatsApp, and protect student data under the PDPA. You can subscribe to ready-made tuition software (one Malaysian provider lists plans from RM69 to RM149 a month by student count) or have a system built around your centre. Transfomind builds custom systems, with a first version from RM6,000.

The problem

Running a centre on WhatsApp and Excel

Most centres start this way. It works until you have a few hundred students, several teachers and fee rules that no spreadsheet can keep up with.

Chasing fees every month

Matching bank-transfer screenshots to a spreadsheet, then messaging parents one by one about what's overdue.

Make-up classes nobody can track

Promises made in chat, credits that quietly expire, and parents asking for classes you can't confirm.

Attendance on paper

Registers retyped at the end of the week, and no quick way to tell a parent their child hasn't arrived.

Parents asking the same questions

Schedules, holidays and fee amounts answered again and again across dozens of chats.

What's included

Everything your centre runs on, in one system

Every centre is different, so we build only the modules you need. These are the ones most centres start with.

Students and parents

Student profiles linked to parents and siblings, with subjects, levels, schools and contact details in one record.

Classes and timetable

A weekly timetable by subject, level, teacher and room, with clash checks when you add or move a class.

Attendance

Teachers mark present, late or absent on their phone. Absences send the parent a WhatsApp alert automatically.

Make-up classes

Every absence creates a make-up credit. Book it into a suitable class with free seats, and the parent gets a confirmation.

Fees and invoicing

Monthly invoices generated from each student's classes, with sibling discounts and pro-rated months applied automatically.

Online payments

Parents pay by DuitNow QR, FPX online banking, e-wallet or card, and the invoice is marked as paid automatically.

WhatsApp automation

Fee reminders, absence alerts, receipts, results and trial confirmations, each one switchable on or off.

Enquiries and free trials

Every enquiry from your website, WhatsApp and Facebook on one board, from first message to trial class to enrolment.

Results and progress reports

Monthly test scores, trends and SPM-style grades, with an AI-drafted progress summary the teacher checks before it goes out.

Teacher app

Teachers see their classes, mark attendance, draft lesson notes and check their pay, without asking the office.

Parent app

Parents see the timetable, attendance, lesson notes, results and fees, and pay in a few taps.

Teacher pay and branches

Pay worked out per hour or as a share of fees, payslips, and every branch in one dashboard.

Try the system yourself

Open the live demo of a fictional two-branch tuition centre with sample data. Switch between the admin dashboard, the teacher app and the parent app: mark attendance, book a make-up class, record a payment and watch the WhatsApp messages go out. There is also a sample centre website: book a free trial class there and watch it appear on the enquiry board.

The demo is a sample. Your system is designed around your centre, so its look and features follow your requirements.

See it in action

Know who has paid, at a glance

The fee dashboard shows what's collected, what's outstanding and which families need a reminder. Reminders go out on WhatsApp automatically, only to parents who haven't paid.

Built around WhatsApp

Parents stay on WhatsApp. Your admin doesn't.

Parents in Malaysia already live on WhatsApp, so the system works through it rather than asking them to download yet another app. Messages are sent from your centre's own WhatsApp Business number.

Automated WhatsApp messages use Meta's WhatsApp Business Platform, which charges per message for some message types. We include the expected running cost in your quotation.

Pricing and timeline

Start with the essentials, grow from there

A first version from RM6,000, with a fixed quotation agreed before any work starts. Most centres build in phases:

  1. Phase 1 · Essentials

Students and parents, classes and timetable, attendance, fees and invoicing. Usually live in 6–10 weeks.

  2. Phase 2 · Automation

Online payments, WhatsApp statements, reminders and absence alerts, and make-up class tracking.

  3. Phase 3 · Growth

Parent and teacher apps, teacher pay, multiple branches and a reporting dashboard.

Hosting, payment gateway fees and WhatsApp message charges are separate running costs, shown clearly in your quote.

Data and compliance

Student data, handled properly

PDPA-aware from day one

Your system stores children's and parents' personal data, so we build in access controls by role, secure hosting and backups, in line with Malaysia's Personal Data Protection Act.

You own your data

Export your students, attendance and payment records at any time. No lock-in.

Ready for e-invoicing

If your centre needs to issue e-invoices through LHDN's MyInvois, we can connect the system to your accounting software or MyInvois. Check with your accountant whether it applies to you.

Questions

Tuition centre system FAQ

Can I try the tuition centre system before deciding?

Yes. Our live demo runs a fictional two-branch tuition centre with sample data. You can switch between the admin dashboard, the teacher app and the parent app, mark attendance, book make-up classes, record payments and see the WhatsApp messages the system sends. Nothing you do in the demo affects real data. The demo is a sample: your own system is designed around how your centre works, so its look and features follow your requirements.

How much does a tuition centre management system cost in Malaysia?

It depends on whether you subscribe or build. Ready-made tuition software is a monthly subscription; one Malaysian provider lists plans from RM69 to RM149 a month depending on student numbers. A custom system is a one-time build: Transfomind's first versions start from RM6,000, and other Malaysian developers quote from around RM8,000 to RM35,000 depending on scope. Hosting, payment gateway fees and WhatsApp message charges are separate running costs.

Should I choose ready-made tuition software or a custom system?

Choose ready-made software if your fee rules and workflow are standard and you want to start this week. Choose a custom system if you have unusual fee rules such as packages, sibling discounts or pro-rated fees, run several branches, or are paying for several tools that don't talk to each other.

How long does it take to build a tuition centre system?

A first usable version with students, classes, attendance and fees usually takes 6–10 weeks, depending on scope. Online payments, WhatsApp automation and parent apps can follow in later phases.

Can parents pay tuition fees online with DuitNow QR or FPX?

Yes. The system sends each family a payment link that can be paid by DuitNow QR, FPX online banking, e-wallets or card through a Malaysian payment gateway. Payments are marked as paid automatically, with the student's name in the reference.

Can the system send WhatsApp reminders to parents automatically?

Yes. It can send fee statements, reminders only to parents who haven't paid, absence alerts and announcements from your centre's WhatsApp Business number. Automated messages use Meta's WhatsApp Business Platform, which charges per message for some message types.

Can I move my existing Excel or Google Sheets data into the system?

Yes. We import your existing student, class and fee records as part of the project, so you don't start from scratch.

Is student data safe and PDPA compliant?

The system is built with role-based access, secure hosting and regular backups, in line with Malaysia's Personal Data Protection Act. Your centre remains responsible for getting parents' consent and using the data properly, and we help you set that up.

Does it work for tuition centres with more than one branch?

Yes. Branches can share one system with separate classes, teachers and reports, while the owner sees everything in one dashboard.
