Quick answer

Business automation lets software handle the repetitive steps, like alerting your team to a new enquiry, sending appointment reminders or chasing unpaid invoices, so nothing depends on someone remembering. In Malaysia most of this runs through WhatsApp. Transfomind builds each automation from RM1,500 per workflow. WhatsApp Business message fees are charged by Meta per message and passed on at cost.

What we automate

Workflows that run themselves

We automate specific problems, not for the sake of it. These are the ones that save Malaysian SMEs the most time.

Instant lead alerts

A new enquiry from your website, form or ads reaches the right person on WhatsApp or email within seconds, and is saved.

Appointment reminders

Bookings, classes and site visits get a reminder before the day, so fewer people forget to turn up.

Automatic follow-ups

If a customer hasn't replied to a quote after a set time, a polite follow-up goes out for you.

Forms to Sheets or CRM

Form entries land in Google Sheets or your CRM, tagged and sorted, without anyone retyping them.

Invoice and payment workflows

Invoices, payment links and reminders for overdue amounts, with payments matched when they arrive.

AI-assisted replies

Every enquiry summarised by AI with a suggested reply your team can check and send, the way our own system works.

Example

One new-enquiry workflow, step by step

  1. Form submitted

A customer fills in your website form with their name, phone and the service they need.

  2. Saved and tagged

The enquiry is saved to your customer sheet or system, tagged by area and service, in about two seconds.

  3. Team alerted

Your sales team gets a WhatsApp alert, and the enquiry is assigned to someone.

  4. Follow-up scheduled

If nobody has replied within 24 hours, a reminder goes to your team and a follow-up to the customer.

Why it pays off

Faster replies, fewer missed customers

Figures from a 2026 Malaysian industry article on WhatsApp automation.

Answer in seconds, not hours

A Malaysian spa chain with 30 outlets cut its WhatsApp response time from an hour to under 30 seconds after automating replies.

Fewer no-shows

Automated appointment reminders reduce no-shows by 15–25%, according to the same article.

Catch after-hours enquiries

30–40% of WhatsApp messages arrive outside business hours, so an instant reply keeps those customers from going elsewhere.

WhatsApp

The free app or the WhatsApp API?

Free WhatsApp Business app

Good for a small team replying by hand, with quick replies, labels and a greeting message, at no cost.

WhatsApp Business Platform (API)

Needed when messages should send themselves from your systems, like booking confirmations and reminders. Meta charges per message, and setup includes business verification and approved message templates.

Our advice

Start with the free app if it works for you. Move to the API when confirmations and reminders should go out without anyone pressing send.

Questions

Business automation FAQ

How much does business automation cost in Malaysia?

One Malaysian agency lists RM2,000–RM4,000 to set up an automation and RM500–RM800 a month to maintain it, with Meta's WhatsApp message fees on top. Transfomind builds each automation from RM1,500 per workflow, with ongoing care in your monthly plan and WhatsApp message fees passed on at cost.

What can be automated?

Anything repetitive with clear steps: lead alerts, saving form entries, appointment reminders, quote follow-ups, invoices and payment reminders, and AI summaries of enquiries. We start with the step that costs your team the most time.

Do I need the WhatsApp Business API?

Only if messages should send automatically from your systems, such as booking confirmations or reminders. If your team replies by hand, the free WhatsApp Business app is usually enough.

How much are WhatsApp message fees?

Meta charges per message. From 1 April 2026 that is about RM0.06 for a utility message, such as a booking confirmation, and about RM0.35 for a marketing message. We pass these on at cost.

Will it work with the tools I already use?

Usually, yes. We connect WhatsApp, email, Google Sheets, Google Calendar, website forms and your business system, so your team keeps working in the tools they know.

Can AI reply to my customers?

For suitable questions, yes. We usually start with AI summarising enquiries and drafting replies for your team to check, then automate the simple, repetitive answers once you trust them.

Is automation worth it for a small business?

If your team answers the same questions, sends the same reminders or retypes the same data every day, usually yes. If not, we'll tell you on the free call.
