Quick answer

A restaurant and F&B system runs what happens around the till. Orders from QR codes on the tables, the counter and your own website go straight to a kitchen screen. Each outlet's stock is checked against its par level and topped up from the central kitchen. Items that sell out disappear from every menu at once, and regulars collect stamps on their phone number. Most Malaysian F&B businesses already have a POS for the counter and card terminal: StoreHub, a common cloud POS, lists plans from about RM120 to RM470 a month for one outlet. Keep it. A custom system earns its place once you have a second outlet, a central kitchen or your own pickup orders, and want everything in one place instead of three apps and a WhatsApp group. Delivery apps typically take 15% to 30% of each order, so pickup orders through your own website keep more of the bill. Transfomind builds custom systems, with a first version from RM6,000.

The problem

Paper chits, WhatsApp requests, three apps

Malaysia had 136,453 food and beverage establishments in 2022, according to DOSM. Running on chits and WhatsApp works for one shop. Add a second outlet, a central kitchen and a delivery app, and things start slipping between them.

Orders lost in the rush

Chits on a spike, orders shouted to the kitchen and tables asking where their food is at 8am.

Sold out, still on the menu

The kaya runs out at 10am, but customers keep ordering it from the QR menu and the delivery app.

Stock requests on WhatsApp

Outlets message the central kitchen at night. Someone forgets the eggs, and the toast sets are gone by lunch.

Delivery apps keep your regulars

A cut of every order goes to commission, and the customer's details stay with the app, not with you.

What's included

From the table to the kitchen, in one system

Every F&B business works differently, so we build only the modules you need. These are the ones most restaurants and kopitiams start with.

QR table ordering

Customers scan the code on the table, order and pay by DuitNow QR or card. The order reaches the kitchen with the table number.

Kitchen and bar screens

Drinks go to the bar and food to the kitchen, with a timer on every ticket and anything over 10 minutes in red.

Counter, QR and pickup in one list

Every order for every outlet in one live list, from new to ready to served.

One menu, every outlet

Change a price once. Switch an item off at one outlet when it sells out, and it disappears from the QR menu and the website.

Item costs and margins

Ingredient cost for each item, so you see the margin on every dish and drink before you change a price.

Stock with par levels

Each outlet's stock counted against its par level, with low items flagged before the rush, not during it.

Central kitchen requests

Outlets request what they need in one tap. The central kitchen sees what to pack for each delivery run, and outlets mark it received.

Stamp card and members

Customers join with their phone number. Every kopi or teh earns a stamp and the 10th drink is free, or whatever rule you set.

Pickup orders from your website

Customers order and pay on your own website, with no commission, and the order appears on the kitchen screen.

Outlets and shifts

Opening hours, shifts and who is on duty at each outlet, in one place.

Reports

Sales by outlet, hour and item, best sellers, busiest hours and how this week compares with last.

Works with your POS

Keep your counter POS. If it can export sales or has an API, its sales can join your reports once we've tested the link.

Try the system yourself

Open the live demo of Embun Kopitiam, a fictional chain with outlets in SS2, Puchong and Subang Jaya and a central kitchen. Switch between the admin side, the kitchen screen and a table QR order on a phone: place an order and watch it reach the kitchen, mark a dish sold out at one outlet, request kaya from the central kitchen and see who is close to a free drink. There is also a sample kopitiam website: place a pickup order there and it appears on the kitchen screen.

The demo is a sample. Your system is designed around your business, so its look and features follow your requirements.

Your own regulars

Know your regulars, not just the app's

Customers join with their phone number when they order by QR. Every kopi or teh earns a stamp, the 10th drink is free, and you can see who used to come every week and hasn't been back in a month. Promos only go to members who agreed to receive them.

Promo messages on WhatsApp use Meta's WhatsApp Business Platform, which charges per message, and marketing messages cost more than order updates. We include the expected running cost in your quotation.

AI built in

Ask your system, in your own words

Type a question in English, Bahasa Melayu or Chinese and the AI assistant answers from your own records, in the language you asked in: which outlet is running low, what sold best yesterday, when the rush starts. Every Monday it also writes a short briefing on last week and what needs you this week.

  • Which outlet is running low on stock?
  • What sold best yesterday?
  • Bila waktu paling sibuk?
  • 今天各分店营业额多少?

The assistant only shows what each person's role is allowed to see. Your monthly care plan includes an AI allowance sized for your team, and heavy use can be topped up.

Ready-made or custom?

An honest comparison

If you run one outlet and your POS already does QR ordering, it's probably enough for now. Here's where a custom system fits alongside it.

Pricing and timeline

Start with orders and the kitchen, grow from there

A first version from RM6,000, with a fixed quotation agreed before any work starts. Most F&B businesses build in phases:

  1. Phase 1 · Orders and kitchen

QR table ordering, counter and pickup orders, kitchen and bar screens, and one menu with sold-out switches. Usually live in 6–10 weeks.

  2. Phase 2 · Stock and central kitchen

Par levels for each outlet, requests to the central kitchen, delivery runs, item costs and margins.

  3. Phase 3 · Members and growth

Stamp card and members, pickup orders from your website, promos, and the link to your POS sales.

Hosting, payment gateway fees and WhatsApp message charges are separate running costs, shown clearly in your quote.

Rules and compliance

Malaysian rules, built in

Service tax at 6%

F&B businesses register for service tax once taxable turnover passes RM1.5 million in 12 months. Food and drinks are taxed at 6%; the 8% rate most other services moved to in March 2024 doesn't apply. The system only adds it if you're registered, on QR, counter and pickup orders alike.

e-Invoicing handled

Since 1 September 2026, businesses with annual revenue under RM3 million are exempt unless a shareholder, holding company or related company is above that. Sales where the customer doesn't ask for an e-invoice go into one consolidated e-invoice, submitted within 7 days after the month ends; a customer who asks gets their own. Your tax agent should confirm which rules apply.

Food handlers on file

The Food Hygiene Regulations 2009 require every food handler to have food handler training and a typhoid vaccination, which is valid for three years. Staff records can keep each person's dates and remind you a month before one runs out.

Member data handled properly

Members' phone numbers are personal data under Malaysia's Personal Data Protection Act, so the system records who agreed to promos, lets members opt out and limits who can see the list. Your data stays yours, exportable at any time.

Questions

Restaurant system FAQ

Can I try the F&B system before deciding?

Yes. Our live demo runs Embun Kopitiam, a fictional kopitiam chain with three outlets and a central kitchen. You can order from a table QR code, watch the ticket reach the kitchen screen, mark a dish sold out at one outlet, request stock from the central kitchen and ask the AI assistant questions. Nothing you do affects real data. The demo is a sample: your own system is designed around how your business works, so its look and features follow your requirements.

Do I have to replace my POS?

No. Most restaurants and kopitiams keep their POS for the counter, receipts and card terminal. The system adds QR and pickup orders, the kitchen screen, stock, central kitchen requests and members. If your POS can export sales or has an API, its sales can be brought into your reports. We check your existing tools on the free call and only promise a connection we've tested. A new outlet without a POS can take counter orders in the system too.

How much does a restaurant system cost in Malaysia?

Ready-made cloud POS software is a monthly subscription: StoreHub, for example, lists plans from about RM120 to RM470 a month for one outlet in 2026, with extra outlets, registers and hardware on top. A custom system is a one-time build: Transfomind's first versions start from RM6,000 with a fixed quotation, plus a monthly care plan sized in the quotation. Payment gateway fees and WhatsApp message charges are separate running costs.

How does QR table ordering work?

Each table has its own QR code. Customers scan it, choose from the menu, add notes such as ais or kurang manis, and pay by DuitNow QR or card. The order reaches the kitchen screen with the table number, drinks go to the bar, and sold-out items don't show. Customers who prefer to order at the counter still can.

Can it handle several outlets and a central kitchen?

Yes. Each outlet has its own stock, par levels, opening hours and shifts, on one shared menu. Outlets send requests to the central kitchen in one tap, the central kitchen sees what to pack for each delivery run, and outlets mark deliveries received. You see every outlet on one dashboard, or switch to one outlet at a time.

Can I run my own loyalty stamp card?

Yes. Customers join with their phone number when they order. You set the rule, for example every kopi or teh earns a stamp and the 10th drink is free. The members list shows visits, free drinks and the last visit, so you can spot regulars who haven't been back in a month and send an offer to those who agreed to receive promos.

Can customers order pickup from my website instead of a delivery app?

Yes. Customers order and pay on your own website, and the order appears on the kitchen screen at the outlet they chose, with no commission. Delivery apps typically charge 15% to 30% of each order, depending on the plan. Many restaurants stay on the apps for delivery and move their regulars to direct pickup.

Does it handle service tax and e-invoicing?

Yes. Service tax on food and drinks is 6% once your taxable turnover passes RM1.5 million in 12 months, and the system adds it only if you're registered. Since 1 September 2026, e-invoicing applies to businesses with annual revenue of RM3 million and above. Sales where the customer doesn't ask for an e-invoice can go into a monthly consolidated e-invoice, and a customer who asks gets their own. Your tax agent should confirm which rules apply to you.

What can I ask the AI assistant?

Questions about your own records, in English, Bahasa Melayu or Chinese: which outlet is running low on stock, what sold best yesterday, which orders are waiting too long, when your busiest hours are. Every Monday it also writes a short briefing on last week. It's included in every system, and your care plan includes a monthly AI allowance sized for your team.

How long does it take to build?

A first version with QR ordering, the kitchen screen and the menu usually takes 6–10 weeks. Stock, the central kitchen, members and website pickup can follow in later phases.
