Quick answer

A car rental booking system keeps your fleet calendar, bookings, customer documents, deposits and payments in one place, instead of WhatsApp chats, a whiteboard and Excel. For a Malaysian rental company, it should stop double bookings, let customers book and pay by DuitNow QR or FPX, check driving licences (visitors from outside ASEAN also need an International Driving Permit), record photos, fuel and mileage at every handover, and match traffic summons to whoever had the car. Hire-and-drive car rental is a taxable service: from 1 January 2026, rental and leasing services are taxed at 6% once taxable turnover passes RM1 million in 12 months. You can use ready-made rental software, usually priced in US dollars, or have a system built around your fleet. Transfomind builds custom systems, with a first version from RM6,000.

The problem

Running a fleet on WhatsApp and a whiteboard

Most rental companies start this way. It works with a few cars, then bookings clash, deposits get argued over and summons pile up as the fleet grows.

Double bookings

Two staff promise the same car on WhatsApp, or a booking on the whiteboard never makes it into Excel.

Slow replies lose bookings

Customers message three rental companies at night. The one that confirms and takes payment first gets the booking.

Deposit and damage disputes

No photos and no fuel or mileage record at pickup, so every scratch and empty tank becomes an argument at return.

Summons weeks later

Traffic summons arrive in the company's name long after the rental, and someone has to dig through records to find who had the car.

What's included

From booking to return, in one system

Every fleet runs differently, so we build only the modules you need. These are the ones most rental companies start with.

Fleet calendar

Every car across the next two weeks, with bookings, requests and service days. Tap an empty day to book.

No double bookings

Every booking, extension and online request is checked against the car's other bookings and service days before it's confirmed.

Online booking

Customers pick dates and see only the cars that are free, with the full price including delivery to KLIA or their home.

Payments and deposits

Rentals and deposits paid by DuitNow QR, FPX or card. Deposits are held and refunded after return, with any deductions explained.

Customer documents

IC or passport, licence expiry and International Driving Permit on file, checked once, with a blacklist for problem renters.

Handover checklist

Photos of all four sides, fuel level, mileage, damage marked on a car diagram and the customer's signature, all on a phone.

Automatic return charges

Late hours, fuel top-ups and new damage are worked out at return and deducted from the deposit.

Summons matching

Enter the plate, date and time of a summons and the system finds who had the car. Send them the notice or deduct it from their deposit.

Maintenance reminders

Road tax and insurance renewals 30 days ahead, and services by mileage, so no car goes out overdue.

WhatsApp automation

Booking confirmations, pickup reminders with a location pin, return reminders, late alerts, receipts and review requests.

Delivery and extensions

Delivery fees for KLIA and home delivery, and extensions checked against the next booking on the same car.

Reports

Utilisation and revenue per car, bookings by source and your busiest periods, to set festive-season rates.

Try the system yourself

Open the live demo of a fictional rental company in Subang Jaya with 12 cars and sample data. Switch between the office, the staff handover app and the customer booking app: book a car, try to double-book one, check in a late return and match a summons to the renter. There is also a sample customer website: book a car there and watch it appear in the office calendar.

The demo is a sample. Your system is designed around your company, so its look and features follow your requirements.

See it in action

Every car, every day, on one screen

The fleet calendar shows which car is out, which is coming back late and which is free next weekend. Customers booking online only see cars that are actually available, so a car is never promised twice.

Built around WhatsApp

Customers stay on WhatsApp. Your staff stop chasing.

Malaysian renters already book on WhatsApp, so the system works through it. Confirmations, pickup pins, return reminders and receipts go out from your company's own WhatsApp Business number.

Automated WhatsApp messages use Meta's WhatsApp Business Platform, which charges per message for some message types. We include the expected running cost in your quotation.

Pricing and timeline

Start with the calendar, grow from there

A first version from RM6,000, with a fixed quotation agreed before any work starts. Most companies build in phases:

  1. Phase 1 · Bookings

Fleet calendar, bookings, customers and documents, deposits and payment records. Usually live in 6–10 weeks.

  2. Phase 2 · Online and automation

Customer booking page with DuitNow QR and FPX, WhatsApp confirmations and reminders, and extensions.

  3. Phase 3 · Operations

Staff handover app, summons matching, maintenance reminders and reports.

Hosting, payment gateway fees and WhatsApp message charges are separate running costs, shown clearly in your quote.

Rules and compliance

Malaysian rules, built in

Service tax handled

Hire-and-drive car rental falls under rental and leasing services, taxed at 6% from 1 January 2026 (8% from July to December 2025) once taxable turnover passes RM1 million in 12 months. The system adds tax only if you're registered. Confirm your position with your tax agent.

Licence and IDP checks

Visitors from ASEAN countries can drive on their own licence; others need a valid licence plus an International Driving Permit. Letting an unlicensed person drive can mean a fine of up to RM2,000 and the car being impounded, so documents are checked before every handover.

Ready for e-invoicing

Since 1 September 2026, businesses with annual revenue under RM3 million are exempt from e-invoicing, unless a shareholder, holding company or related company is above that. If you're required to issue e-invoices, we connect the system to your accounting software or LHDN's MyInvois.

Customer data handled properly

IC and passport copies, licences and addresses are protected with role-based access, secure hosting and backups, in line with Malaysia's Personal Data Protection Act. Your data stays yours, exportable at any time.

Questions

Car rental system FAQ

Can I try the car rental booking system before deciding?

Yes. Our live demo runs a fictional rental company in Subang Jaya with 12 cars and sample data. You can book a car online, try to double-book one, do a handover and a late return in the staff app, and match a traffic summons to the renter. Nothing you do affects real data. The demo is a sample: your own system is designed around how your company works, so its look and features follow your requirements.

How much does a car rental booking system cost in Malaysia?

It depends on whether you subscribe or build. Ready-made rental software is sold as a subscription or licence, often in US dollars; one platform listed on Capterra prices features from US$995 each, one-time. A custom system is a one-time build: Transfomind's first versions start from RM6,000. Hosting, payment gateway fees and WhatsApp message charges are separate running costs.

Can it stop double bookings?

Yes. Every booking, extension and online request is checked against the same car's other bookings and service days before it's confirmed. Customers booking online only see the cars that are free for their dates.

Can customers book and pay online with DuitNow QR or FPX?

Yes. Customers choose their dates and pickup point, upload their IC or passport and licence, and pay the rental and deposit by DuitNow QR, FPX, e-wallet or card through a Malaysian payment gateway. The booking appears in your fleet calendar straight away.

How are deposits handled?

Deposits are recorded when paid and held until the car is back. At return, the system adds any late hours, fuel top-up, new damage or summons, and shows the refund amount. The customer gets a WhatsApp message explaining the refund and any deductions.

How does summons matching work?

Traffic summons for rental cars are issued in the company's name. You enter the plate, date and time, and the system finds the booking that was active at that moment. You can send the renter a notice on WhatsApp or deduct the amount from their deposit if it's still held.

Do foreign customers need an International Driving Permit?

Visitors from ASEAN countries can drive in Malaysia on their own domestic licence. Visitors from other countries need a valid domestic licence together with an International Driving Permit. The system records this for each customer and reminds staff to check it at handover.

Do I need to charge service tax on car rental?

Hire-and-drive car rental falls under rental and leasing services. From 1 January 2026, these are taxed at 6% (8% from July to December 2025), and registration is required once taxable turnover passes RM1 million in 12 months. Your tax agent should confirm how this applies to your company.

Can my staff do handovers on their phone?

Yes. The staff app lists today's pickups and returns. Staff check documents, take photos of all four sides, record fuel and mileage, mark damage on a car diagram and get the customer's signature on the phone.

Can I move my existing bookings and customer list?

Yes. We import your cars, upcoming bookings and customer list as part of the project, so your calendar is complete on day one.
